Terms of participation

Personal data and confidentiality

An entry number is personal and it is the participant’s responsibility to be registered with correct personal information. Unauthorized use of an entry number can and will lead to disqualification. Transfer of a BIB is possible for a fee; see further details under ‘transfer’.

Sparta Athletics & Running reserves the right to show the participant’s name, club, country, company, year of birth and nationality on your BIB, participant and result lists. Personal information provided in connection with registration and participation in a race is stored by the organizer and is never disclosed or sold to third parties, other than the above-mentioned publication or in connection with anonymized statistics. Emails and mobile numbers are used to send necessary race information to participants, and the participant does not have the option to unsubscribe from information emails, as these are necessary to ensure that the event can run smoothly. It is possible to unsubscribe from information via SMS by removing your mobile number from your registration profile, however, in that case it will not be possible for the participant to receive race pack, results etc. by SMS.

For more information on how we collect, process and store personal data, please see our privacy policy

Use of media material

Photos, film recordings, interviews and similar media material in which participants appear in connection with an event can subsequently be freely used by the organizers, sponsors and partners, including for marketing purposes. All photos used by the organizers both online and on printed material, including on websites, Facebook, Instagram and Twitter, are subject to copyright and may not be used in any way for marketing or commercial purposes by third parties without agreement.

BIB

Your BIB for a race must be picked up before the start of the race in the time and location that Sparta Athletics & Running has informed about before the race. Delivery of race packnumbers requires presentation of the registration card that is sent by e-mail to the participant prior to the event.

Pick-up of BIB numbers on the day of the race is at the participant’s own risk, and delays due to traffic conditions, queues at the pick-up point, etc. are the sole responsibility of the participant.

Members

Please note that if you are a member of Sparta Athletics & Running and sign up for a race, the general terms and conditions for membership of Sparta Atletik & Løb also apply in connection with the race. the race.

Special conditions or equipment

Blind and physically challenged people can participate on an equal footing with other runners and preferably with a guide if needed. However, it is not allowed to have a cycling guide in the field. The guide does not need to be registered.

Special equipment, such as jogging strollers and handbikes, may only be brought by prior arrangement with the organizers. It is recommended that you avoid running with a baby jogger due to the risk of hot weather conditions, loud noises, etc.

All participants with special equipment must show consideration and respect the instructions of officials and race management at all times.

Time limit

At Copenhagen Marathon and Copenhagen Half Marathon there is a net time limit (the time from when you cross the start line). Read more about applicable time limits on the respective websites.

Terms and conditions of enrollment

Confirmation and verification of registration

Immediately after registration, you will receive an order confirmation by email. If you do not receive a receipt, or if you discover any errors or omissions, please contact customer service. Participants also receive a personal login to their registration profile, which is located at Ultimate Sport Service, and it is the participant’s responsibility to check that all the data provided is correct at all times and update the profile accordingly or notify Sparta Atletik & Løb if the information changes.

Entry fee, administration fee and payment options

Entry fees are VAT-free, cf. Danish legislation on VAT exemption of amateur sport. Ultimate Sport Service charges an administration fee of DKK 20 incl. VAT per participant. It is possible to pay with Dankort, VISA/Dankort, VISA, Euro Mastercard, Visa Electron, MobilePay Online and Maestro.

Security in connection with online registration

The payment system is secured against misuse with a so-called TLS solution. TLS is a system that encrypts all the Dankort and credit card information you send to us.

This means that neither we nor anyone else (with the exception of QuickPay, NETS and Clearhaus) can obtain complete information about your payment card. The TLS system also ensures that data between your browser and our server cannot be altered. The payment module is handled by QuickPay.

Product liability, right of withdrawal and refund

According to the Danish Consumer Contracts Act on Internet commerce, the provider, in this case Sparta Atletik & Løb, has full product liability. The participant (buyer) has no right of withdrawal, as recreational leisure activities are not included in the agreement.

Assignment

It is possible to transfer your race number to another person for a fee. The fee is paid by the runner who wishes to transfer the bib number. The transfer is done through the runner’s online participant profile and is not complete until the new participant receives an email with a valid voucher code issued by the organizer.

Free bibs (free bibs) and bibs purchased at a discount or otherwise at a reduced price cannot be transferred to another runner.

Unauthorized use of a race number may lead to disqualification, and the organizer is not responsible for misuse or fraud in connection with the transfer of a race number, even if the race number is communicated on the race’s official platforms, including Facebook or Instagram.

Tickets to cultural and sporting events in Denmark may not be offered or resold for a higher amount than the tickets were originally purchased for, unless there is an agreement with the organizer. This also applies to the transfer of BIBs.

Prohibition of resale and use for commercial purposes

Acquired entries may not be commercially resold or used commercially for package sales (i.e. sold together with other goods or services), competitions, resale or the like, unless Sparta Atletik & Løb has given special permission to do so.

Violation will result in the entries being canceled.

Liability, errors and omissions

Health

Participants must be in good health and believe themselves capable of completing the entire distance under their own power. On the back of the runners’ BIBs, participants can indicate any special conditions regarding their health.

Liability

By registering, participants confirm that they understand that participation is at their own risk and that neither the organizer, partners or sponsors can be held liable for injuries that the participant incurs to themselves or others during the race and which cannot be attributed to Sparta Atletik og Løb. Participants under the age of 18 also confirm that parents or guardians have given their consent to the minor’s participation in the race. Please note that you must be at least 16 years old to participate in the Copenhagen Half Marathon due to the distance.

Cancellation and force majeure

The organizer may cancel the race due to force majeure, i.e. due to circumstances on the day of the race or in the days leading up to the race that make it impossible to run the race, such as official orders or bans, bad weather, accidents or other circumstances beyond the organizer’s control. In cases where the organizer has paid all costs related to the running of the race, participants are not entitled to a refund of entry fees or other costs in connection with their registration in the race.

In the event of such extraordinary events or circumstances, the organizer will, to the extent possible, take appropriate and timely measures to minimize the financial costs resulting from the cancellation. Any surplus will result in a partial refund of the participation fee.

Reservation for errors and omissions

Sparta Atletik og Løb makes reservations for any errors and omissions in prices and event descriptions both online and in printed material. All information is published subject to change.
